Fund Administration Specialist – Private Equity (m/f/d)

On behalf of our client, a service provider in Luxembourg, we are hiring a “Fund Administration Specialist – Private Equity (m/f/d)”.

Your responsibilities:

• Managing the daily administration of fund structures, with responsibilities carried out under the direction of a Client Relationship Manager
• Support company secretarial functions, including preparing agendas, compiling and distributing board packs, organizing shareholder meetings, and drafting minutes and power of attorney documents
• Manage day-to-day operations of client companies and address client inquiries
• Assist clients with the setup and administration of Luxembourg holding companies and fundstructures, maintaining regular communication with clients and intermediaries
• Actively participate in client onboarding, including initiating bank account setups and system configurations
• Ensure accurate maintenance of investor and company records, including statutory documents, business and shareholder registers, and ensure timely regulatory filings
• Oversee routine fund operations, such as investor calls and distributions
• Assist with the preparation and review of legal documents, ensuring proper execution and handling of legalizations, notarizations, and apostilles
• Prepare and process payment instructions for fund expenses, supporting the management of the electronic payments library

Your profile:

• University degree in Finance, Law or Business Administration or hold or currently pursuing a relevant corporate/fund administration qualification (e.g., ICSA certificate level)
• 2-3 years of experience in a similar position
• Good understanding of the administration of holding companies as well as limited partnerships
• Experience with the general banking
• Proficient in written and spoken English (knowledge of additional European languages, such as French or German, is a plus)
